• Memory submissions: your name, email, relationship to Sam, your story and any photos, video, audio or documents you attach.
• Contact messages: whatever you choose to write to us.
• Giving: donations are processed by our fiscal partner. Any donation record we hold is private to the family and is never published, listed or shown on this site.

Every memory arrives as a private, pending submission. It is read by a family member before anything appears publicly. Only stories you have ticked the consent box for, and that we have approved, appear on the Stories of Sam wall.

You choose how you are credited — full name, first name only, or anonymous — and we honour that choice everywhere the story appears. We may lightly edit a title or shorten an excerpt for the wall; we will not change the meaning of what you wrote.

You can withdraw consent at any time. Email us and we will unpublish and delete the story and its attachments.

Your email address is never published, never displayed on any public page, and is not readable by site visitors. It is used only if we need to reach you about your story. We do not sell, rent or trade personal information, and we do not send marketing email.

Uploaded files are stored privately. Before approval they are visible only to the family members who review submissions — they are not publicly reachable, not indexed, and not linkable. A file becomes viewable only once the memory it belongs to has been approved for publication.

Please only upload media you have the right to share. If a photograph includes other people, especially children, do not upload it unless they — or their parent or guardian — are comfortable with it appearing publicly.

This fund exists to keep a girl in school, so safeguarding is not a footnote for us. We apply these rules without exception:

• We never publish a student's full name, school address, contact details, or anything that would let a stranger locate her.
• Photographs of a student are published only with the written consent of the student and her parent or guardian, and only where doing so carries no risk to her.
• Consent is treated as revocable. If a student or her guardian asks us to remove or reduce what is shared, we act immediately and without asking for a reason.
• Where consent is not given, or where we have any doubt, we tell her story in de-identified form — first name or initials only, or no name at all.
• We do not use images or stories of children to solicit donations in a way that trades on distress or strips a child of dignity.
• We do not collect information from children through this website, and we ask that people under 16 not submit memories without a parent or guardian.

The identity of the girl supported each year is protected. What appears on This Year's Girl is shared only with her informed consent and, where she is a minor, the consent of her parent or guardian — and only as much as they have agreed to. Details such as her surname, school, village and photographs are withheld by default, and remain withheld unless consent is explicit, current, and freely given. Verification of school fees and expenses is handled privately with the school and our partner, never by publishing her documents.

Submissions and files are held in an access-controlled database and private file storage. Only signed-in family custodians with an administrator role can read pending submissions, contact details or admin notes; the administrator dashboard is password-protected and unavailable to the public. We keep memories for as long as the archive exists, and delete them on request.

We do not run advertising trackers or sell behavioural data. The site uses only the storage needed to keep a signed-in custodian's session working.

You can ask us what we hold about you, ask for it to be corrected, ask for it to be deleted, or withdraw consent to publish — at any time, by writing to hello@madetofund.com. We aim to respond within a few days.

This page is maintained by Sam's family and describes our current practices. It is not legal advice or a certification, and we will update it as the fund grows.
